A&A’s services are performed by its highly skilled and accredited workforce on a planned and reactive basis from service centres around the UK.
Office Administrator Responsibilities:
Assist with invoicing administration by processing invoices on the internal finance system/create and maintain spreadsheets and other data tables/documents.
Assist with the compilation/collation of pre-works administration documents.
Collation and preparation of all office, works and job paperwork including accurate electronic and document filing. This includes liaising with management and Operatives, following up to ensure all documents have been received.
Answering the telephone in a professional manner and direct incoming telephone calls appropriately.
Booking in and scheduling of any works.
Gather paperwork and enter data on to asset management database
Assist in producing and maintaining quotations.
Looking after the franking machine and delivery of outgoing post (taking to the post office).
Setting up the meeting room and arranging lunch for meetings held on site when required.
Maintaining stationary stock.
Any other administrative duties that may be required on an ad-hoc basis.
Providing full office cover in the event of absence of other office staff for any reason
Any other duties for which the postholder is qualified and experienced to undertake and as assigned by the Divisional and Depot Managers.
Office Administrator Requirements:
Possess previous experience of a dynamic office environment
Excellent verbal and written communication skills and able to tailor such skills to any group of people.
Experience of dealing with diverse groups of individuals.
Possess IT skills which must include the ability to use all Microsoft/Windows office applications.
Experience of managing administrative processes and be numerate and accurate with excellent attention to detail and a methodical approach.
Proven ability to operate independently with minimum supervision.
